Work and tasks
What am I supposed to be doing, and what is late? That is what tasks answer. A task is the smallest unit of work in Kadrenta. It can hang off a project, off a shot inside a project, or off nothing at all, for the small errand that does not deserve a project of its own.
Two letters is enough, and it reads every chapter.
Where does a task live?
- On a project. The usual case: a task in one of the project's chapters (General Tasks, Pre-Production, Production, Post-Production) or on one of its shots. A shot task also counts toward the project as a whole.
- On its own, as a general task. For a job too small for a project. You can still attach a client, so "ring Vosseveld back about the brief" stays linked to who it is about. New → Task in the top bar makes one from anywhere and offers people, projects and companies to attach it to.
- From a walk-through. While recording a walk-through of a canvas, you can write a task without stopping; it remembers the card and the moment. See The canvas.
On the dashboard, General Tasks holds the loose ones and My Project Tasks everything you hold on projects. Ticked-off general tasks leave the list, apart from the last three you finished in the past day.
How do I add a task?
The fastest way is the quick-add line at the bottom of any chapter on a project page: type a title, press Enter.
For the things your studio does on every job, use the ☰ on a project chapter. It opens Standard tasks, your studio's own list: Moodboard, Script, Storyboard, Scope, Compositing, Editing, Sound design, and so on. Tick what this project needs and each line becomes a task in its chapter. Lines already on the project show as already here, so the list doubles as a progress check. + Add Task to list extends the list for every future project.
Shots have their own task list, set per breakdown: the ☰ on an opened shot shows This breakdown's shot tasks or Your studio's shot tasks. See Shot breakdowns.
Assigning a task, or offering it
There are two ways work moves to somebody, and the difference is who decides:
- A lead assigns. If you may hand out work (on a project, or over the studio's general tasks), putting somebody's name on a task lands straight away.
- Anyone else offers. Without that right you can still pick work up yourself, or offer something you hold to a colleague. The hand-over icon on a task row opens a small panel: "Ask a colleague to take this on. It stays yours until they say yes." Pick somebody, add a note if you like, and press Offer it. The task shows Out with
<name>until they answer Accept or No thanks. Take the offer back works while it is pending.
Assigning lands, offering waits for a yes.
Statuses: where does my task stand?
Every task carries a status that its holder sets:
- Not started
- In progress
- Waiting, on somebody else. The pause button on a row switches to this; switching back resumes to In progress if work was already logged, or Not started if not.
- Review requested
This is your own read on your own work. Review requested on a task has nothing to do with a client seeing anything; client review is its own part of Kadrenta (Review).
Priority and deadlines
Priority is one scale shared by tasks and deals: Critical, High, Normal, Low, Someday. Most forms show a simpler picker, High, Medium, Low, which writes to the same scale.
A deadline colours a task's pill: a caution colour inside a week, and the critical colour inside three days, which includes anything due today or late.
Need more time? The +1 day, +3 days and +1 week buttons beside a task's deadline push it out, and Snooze on a task row does the same in one press. A snooze counts from the deadline, or from today when the task is already late. You can also simply type a new date.
The dashboard counters
Three figures sit at the top of the dashboard:
- Open tasks: everything of yours that is not finished.
- Waiting: what is waiting on somebody else.
- Due today or overdue: shown only when it is not zero.
Open tasks and Waiting always show, even at zero, because an empty plate is a real answer. They count what you personally hold, plus loose tasks you wrote that nobody has picked up. Pressing either scrolls to My Project Tasks; pressing Due today or overdue opens the overdue list.
The overdue list
Due today or overdue lists everything of yours that is due today or late, the longest-waiting first and today's last. When there is nothing, it says "Nothing is due today or overdue." Snoozing a row takes it off the list straight away.
Want a reminder on every page? Switch on Warn me about late work in the top bar under Profile and Settings → Site Settings. A red ⚠ with a count then shows in the top bar whenever something of yours is late, and opens the same list. It is off by default.
Kadrenta checks for newly late tasks, and notifies the people on them, when somebody in the studio opens the dashboard. In a studio that is in use, that is within minutes.
What do I see of other people's work?
You see every task on a project you are part of, assigned to you or not, with one exception: a private task. Marking a task private keeps it to yourself. Nobody else sees it: not your teammates and, as the product puts it, "not your admin" either.
